Adopt Resolution No. 2016- , authorizing the Interim City Manager to execute a two (2) year professional service agreement between the City of Livingston and Ricky Ricardo Promotions as an event planner to assist in planning and coordinating the City’s annual Sweet Potato Festival.
The City of Livingston has been hosting the annual "Sweet Potato Festival" for over three years. The focus of the annual community event is to create a venue for families to enjoy local, safe and fun activities. City staff devotes significant time and effort to promoting and organizing a safe and fun family event. Depending on the operating budget, festival activities vary from carnival rides, music, food, minor retail, informational booths, to other fun activities. The majority of program activities are held on the weekend (Saturday and Sunday).
The annual community event attracts an average of over 9,000 attendees within and from outside of Livingston. The event has an indirect positive impact on our local economy as some local businesses may also benefit by an increase in sales. The event also assists in promoting the City of Livingston and potentially attracts new residents.
Ricky Ricardo Promotions, owned and operated by Ricardo Cardenas, has assisted the City the last several years with planning and coordinating the annual Sweet Potato Festival. Their assistance has included promoting and advertising, coordinating and arranging entertainment and program activities/services, negotiating contract arrangements entertainment and other activities as approved by the City, generating sponsorships, and providing on-site oversight and support during event operations, setup and other functions.
The City has been reviewing and discussing other possible arrangements regarding the management and coordination of this annual event, however, no actual commitments have been reached.
Approval of a two (2) year professional services agreement with Ricky Ricardo Promotions as an event planner to assist in planning City’s annual Sweet Potato Festival.
Ricky Ricardo Promotions will receive a maximum of $3,500 each year. The compensation under this agreement will be paid through event revenues including potential sponsorships.
Annual expenditures for the Festival have varied from $47,000 to $54,000 (excluding City labor costs) in the last three years. The City has generated sufficient event-related revenues to cover event costs (excluding City labor).
