Staff recommends that the City Council approve the purchase of a new electronic LED digital board.
The City has been entertaining the idea of acquiring an electronic digital board to assist in promoting certain City functions, economic development opportunities, community events, employment opportunities and other especial projects. This unit will serve as another venue of informing our residents.
The City publicized an ad for bids between May 17th and June 3rd 2016. Only one company responded to the City’s ad, Cornucopia Enterprises submitted a proposal with two possible options;
Option # 1: a 3′ x 8′ LED area with a 1′ x 8′ static display double sided; full-color with 16mm resolution quoted at $45,000 (installed) and $37,000 for a monochrome (non-color).
Option #2: a 2′ x 8′ static display area with a 2′ x 8′ LED split format, double sided; full-color with 16mm resolution quoted at $39,000 (installed) and $34,000 for a monochrome (non-color). Any electrical supply needs will be an additional cost. Depending on location selected, the estimated setup of power supply is $3,000.
Location where sign could be installed is to be determined. Possible locations could be nearby City Hall or at intersection of Winton Parkway and "B "Street depending on power supply.
City also contacted Community Electronic Information Signage out of Texas, but no quote was submitted.
Council to consider approving purchase of this new electronic LED digital board. Staff recommends purchasing the second option full color at $39,000 including installation (16mm full color, double sided, with a 2′ x 8′ LED split format, 2′ x 8′ static display area with base section). Unit comes with a five year parts warranty, training and installation.
City budgeted $36,500 for this item. Recommended option priced at $39,000. Management has identified unspent budget funds from the admin & other departments to cover the difference.
