AGENDA ITEM: Resolution Authorizing Award of Contract/Purchase Order toSequoia Equipment Co., Inc., Fresno, California for the Purchase of One (1) Tier 4 Title 23 Backhoe Purchase.

RECOMMENDATION:

City Council adopts Resolution No. 2014-_, authorizing award of the bid to Sequoia Equipment, Co., Inc., Fresno, California for the purchase of One ( 1) Tier 4 Title 23 Backhoe with hammer attachment and authorize the City Manager to execute the necessary documents.

AUTHORITY: Title 1, Chapter 11 of the City of Livingston Municipal Code deals with the requirements and procedures for Contracts and Notices Inviting Bids.

BACKGROUND:

Public Works is in need of a new Backhoe to replace their old 1990 Chevy Ford Backhoe 555C. The cost was estimated at $125,000.00. On September 17, 2013, City Council authorized bids for the purchase of the backhoe.

DISCUSSION:

Notice Inviting Bids and Specifications were prepared and advertised for the Purchase of One (1) Tier 4 Title 23 Backhoe with an additive alternate for a hammer attachment. One sealed bid was received on February 11, 2014 from Sequoia Equipment, Co., Inc. Staff recommends award of the contract/purchase order to Sequoia Equipment Co., Inc. in the amount of $112,259.16, which includes the additive alternate.

FISCAL IMPACT:

The cost for the backhoe will be covered using a CMAQ Grant and City Funds. The City will pay for the purchase out of gas tax funds and will receive a Federal reimbursement of $99,383.03 under the grant.

RESOLUTION OF THE CITY COUNCIL OF THE CITY OF LIVINGSTON AUTHORIZING AWARD OF CONTRACT/PURCHASE ORDER TO SEQUOIA EQUIPMENT CO., INC. OF FRESNO, CALIFORNIA FOR THE PURCHASE OF ONE (1) TIER 4 TITLE 23 BACKHOE PURCHASE

WHEREAS, Public Works staff has the need for a backhoe to perform maintenance operations; and

WHEREAS, The cost for the backhoe and hammer attachment of $125,000 has been approved in the budget and will be covered by a CMAQ grant with an 11.47% City match and available in the Streets and Bridges Impact Cap/Development Impact Fee/Equipment Purchase Fund; and

WHEREAS, Notice Inviting Bids and Specifications was prepared and bids were advertised for the purchase of One (1) Tier 4 Title 23 Backhoe. One sealed bid was received from Sequoia Equipment Co., Inc. on February 11, 2014; and

WHEREAS, Staff recommends award of the contract/purchase order in the amount of $112,259.16 to Sequoia Equipment Co., Inc. Fresno, California.

NOW, THEREFORE, BE IT RESOLVED that the City Council hereby adopts a Resolution authorizing award of the Bid/Purchase Order to Sequoia Equipment Co., Inc. Fresno, California for the purchase of One (1) Tier 4 Title 23 Backhoe.
